UK Cover Letter Format (Covering Letter Guide)

Short answer: A UK covering letter is one side of A4, three to five short paragraphs, written in British English. Address a named person ("Dear Ms Okafor") and close with "Yours sincerely"; if you truly cannot find a name, open with "Dear Sir or Madam" and close with "Yours faithfully". Send it with every CV application unless the advert asks for a form or a supporting statement instead.

British employers still read the covering letter as the place you prove you have studied the advert and the organisation. The grammar of the letter itself carries signals here that it does not in North America: the pairing of salutation and sign-off, the date order, the spelling. Get those wrong and a hiring manager in Leeds notices before they notice your experience.

UK covering letter example (graduate, data role)

Written by a master's graduate applying to a housing association in Leeds for a Data Analyst post advertised with a reference number. She is on a Graduate visa, so the letter states her right to work plainly in one sentence.

Ms Grace Okafor Head of Insight Northfield Homes 12 Wellington Street Leeds LS1 4DL

Dear Ms Okafor,

Re: Data Analyst, reference NH-2291

I am applying for the Data Analyst post advertised on your careers page. Your 2025 tenant-satisfaction report caught my attention because it published the repairs data alongside the survey scores, and the advert says the post will build on that work. That is exactly the kind of analysis I want to do.

I completed an MSc in Business Analytics at the University of Leeds this September. For my dissertation I worked with a local housing charity's anonymised repairs log of 41,000 jobs, cleaned it in Python and built a Power BI dashboard that showed which property types generated repeat call-outs. The charity now uses the dashboard in its monthly asset meeting. Before my master's I spent two years as a reporting analyst at a logistics company in Chennai, where I owned the weekly SQL reporting for a team of thirty.

Your person specification asks for confidence presenting to non-technical colleagues. At the charity I presented findings to the operations committee twice, and the second presentation led to a change in how emergency repairs are triaged.

I hold a UK Graduate visa valid until August 2027, so I can start without sponsorship; after that date I would need Skilled Worker sponsorship to continue in the post.

Thank you for considering my application. My CV is attached, and I would welcome the chance to discuss the role.

Yours sincerely, Priya Raman

Why this letter works

Applying to UK jobs from overseas or on a visa

UK employers must check your right to work before you start, and you can prove it with a share code or with eligible immigration documents — the GOV.UK guidance says an employer cannot reject you because you chose documents over a code. That check happens at offer stage, but a one-line statement in the letter saves the recruiter a question and stops your application being parked.

Use the sentence that matches your situation: "I hold [visa type] valid until [month year] and can work full time without sponsorship", or "I would need Skilled Worker sponsorship for this role." Do not leave it to be inferred from an overseas address. Sponsorship is only possible through an employer the Home Office has approved, so if the advert says it cannot sponsor, believe it. For how to word visa status on the CV itself, see visa status on a resume.

If your experience is from India, Nigeria, Pakistan or the Philippines, name employers and qualifications in a way a UK reader can place: "a 400-person logistics firm in Chennai", "B.Tech (four-year engineering degree)". UK readers are unlikely to recognise regional company names or grading systems.

Covering letter or cover letter — and which one the advert wants

Both terms mean the same document in the UK; "covering letter" is the older, more formal phrase and is still common in the public sector, law and universities. What matters more is the format the advert asks for:

  • CV and covering letter — the standard private-sector application. Always send the letter, even when the portal marks it optional.
  • Application form — many councils, charities and graduate schemes use a form instead of a CV. Do not attach a letter unless the form asks for one; put the effort into the form's questions.
  • Personal or supporting statement — a longer, criteria-led piece, covered below.

NHS supporting information vs a cover letter

NHS Jobs applications ask for "supporting information" in a box on the form rather than a separate letter. It is not a covering letter with a new name. It is marked against the person specification, so it should work through the essential criteria one by one, ideally in the same order, with a short example for each. A pleasant 250-word letter pasted into that box usually scores poorly because it skips criteria.

The Civil Service works in a similar way: its applications usually ask for a personal statement against the criteria in the advert, with a word limit. Write to the limit and the criteria, not to a letter template.

What UK hiring managers notice first

  • A named reader. The National Careers Service advises finding the hiring manager, head of department or recruitment manager on the organisation's website before falling back on "Dear Sir or Madam".
  • The salutation and sign-off pairing. "Dear Ms Okafor … Yours faithfully" reads as a mistake to British readers.
  • Consistency with the CV. Same font and size as your CV, and the same phone number and email.
  • No US date order. 10/13/2026 is unreadable in the UK; write 13 October 2026.
  • Restraint. Understatement reads as confidence in British business writing. "I led" lands better than "I spearheaded a revolutionary".

Your letter points to your résumé, so the résumé has to follow the same country's rules.

UK cover letter FAQ

How long should a covering letter be in the UK?

One side of A4. The National Careers Service describes a cover letter as usually 3 to 5 paragraphs long, which in practice is about 250–400 words.

Do I use Yours sincerely or Yours faithfully?

Yours sincerely when you address a named person (Dear Mr Patel). Yours faithfully only when you open with Dear Sir or Madam. On an email application, Kind regards is also acceptable.

Is it a cover letter or a covering letter in the UK?

Both are correct and mean the same thing. Covering letter is more formal and common in the public sector; cover letter is used widely in private-sector adverts.

Should I mention my visa in a UK covering letter?

Yes, in one plain sentence — the visa type and expiry date if you can work without sponsorship, or that you would need Skilled Worker sponsorship. Employers check right to work before you start, so stating it early avoids your application being set aside.

Is an NHS supporting statement the same as a cover letter?

No. NHS supporting information is marked against the person specification, so it should address each essential criterion with an example. A short general letter in that box tends to score poorly.

Should a UK cover letter be a PDF or Word document?

PDF unless the advert asks for Word. A PDF keeps your layout and A4 margins intact on any device.
