Canadian Cover Letter Format (with Sample)

Short answer: A Canadian cover letter fits on one page of Letter-size paper (8.5 × 11 in), runs three or four paragraphs and uses Canadian spelling such as "labour" and "centre". It leaves out personal details like age, marital status and photo, names the job and where you saw it, and closes with "Sincerely,". In Quebec, write in French when the posting is in French.

Canadian employers want the same thing American ones do — a short, tailored letter tied to the posting — but the details differ enough to give a newcomer away: paper size, spelling, a habit of listing personal information that Canada's own Job Bank tells applicants to leave out. This guide covers the format and the newcomer questions a template won't.

Canada cover letter layout at a glance

LengthOne page; 3–4 paragraphs, about 250–350 words.
Address blockYour name, city and province, phone and email at the top; then the date; then the hiring manager's name, title, company and address. On an online form, contact details go under your signature instead.
Date formatOctober 13, 2026 is the most common in English letters. 2026-10-13 is the unambiguous numeric form. Avoid 13/10/26 or 10/13/26 — readers split on which is the month.
SalutationDear Ms. Tremblay: or Dear Ms. Tremblay, — with the period after Ms./Mr./Dr. If no name, "Dear Hiring Manager" (not "To whom it may concern").
Sign-offSincerely, or Kind regards, followed by your full name.
SpellingCanadian: labour, colour, centre, cheque, travelled, with -ize endings (organize, recognize). Match the posting if it uses another convention.
File typePDF; Word only if the employer asks. Letter size (8.5 × 11 in), not A4.

A permanent resident who landed through Express Entry eight months ago, applying to a food distributor in Mississauga. Her experience is from India, so the letter translates it into terms a Canadian hiring manager can weigh, and states her work status once.

Mr. Daniel Fortin Director, Supply Chain Maplegate Foods Inc. 2450 Meadowpine Blvd. Mississauga, ON L5N 6S2

Dear Mr. Fortin,

I am applying for the Supply Chain Coordinator position posted on Job Bank (job number 3101876). Your posting mentions reducing stockouts across three Ontario warehouses. That is the problem I spent the last four years solving for a national grocery distributor in India, and I would like to help Maplegate do the same.

At Freshway Distribution in Pune, a company with 22 warehouses and about 1,800 employees, I coordinated inbound replenishment for 1,400 SKUs. I rebuilt our reorder points in SAP using twelve months of sales data, which cut stockouts on fast-moving lines from 6.1% to 2.4% over two quarters while holding inventory value flat. I also ran the weekly supplier call with fourteen vendors, so I am comfortable chasing late shipments politely and persistently.

Since arriving in Canada I have completed the APICS CSCP exam preparation course and volunteered with a Peel Region food bank, where I set up a simple intake log that the warehouse team still uses. Both gave me a working understanding of Canadian cold-chain practice and terms such as ASN and cross-dock that you use in the posting.

I am a permanent resident of Canada and can start on two weeks' notice. Thank you for considering my application; I would welcome a conversation about the role.

Sincerely, Ananya Kulkarni

Why this letter works

Newcomers, PR applicants and work permit holders

Canadian employers can ask whether you are legally entitled to work in Canada, and a newcomer's letter that answers before being asked removes the most common reason an overseas-educated application gets put aside. Choose the true sentence: "I am a permanent resident of Canada", "I hold an open work permit valid until [month year]", or "I hold a post-graduation work permit valid until [month year]". If you are still abroad and applying while an Express Entry profile is in the pool, say that plainly rather than implying status you do not have. For the CV side of this, see visa status on a resume.

Two habits from other markets work against you in Canada. First, personal details: Job Bank advises leaving out age, marital status, religion and similar information, and says a photo is not the norm in Canada — the same goes for the letter. Second, unexplained credentials: name your degree's length and field ("four-year Bachelor of Engineering"), and mention a credential assessment such as an ECA only if you have one and it matters for the role.

Quebec and bilingual roles

Quebec's Charter of the French Language makes French the normal language of work, and it limits when an employer may require knowledge of another language to roles that genuinely need it. In practice, if a Montreal posting is written in French, the letter should be in French; a polished English letter sent to a French-only posting reads as not having read it.

For bilingual roles, and for federal public service positions marked bilingual, state your level in each official language honestly in one line — "Fluent English; French at intermediate (B1) level, currently studying towards B2" — and be ready to be assessed. Do not claim fluency you cannot use in an interview.

Letter paper, spelling and other North American details

Canada uses Letter-size paper, like the US, so a CV and letter set up on A4 will print with odd margins in a Canadian office. Canadian spelling sits between British and American: "colour" and "centre" as in the UK, but "organize" and "analyze" are common. The safest rule is to match the spelling in the job posting.

Canadian letters are a little less formal than British ones and a little less sales-heavy than American ones. "Dear Hiring Manager" is fine when no name is listed; "To whom it may concern" reads as dated.

Using Job Bank and job numbers

Many Canadian postings, including those on the Government of Canada's Job Bank, carry a job number. Put it in your first line or a reference line. Job Bank's own guidance is to research the company first and write a cover letter that is concise and tailored to the company and the job, preparing a different letter for each application.

If you are applying to an employer that has received approval to hire a foreign worker, the posting may say so. That is not a promise of sponsorship for every applicant. Ask about it at interview, not in the letter.

Next step

Your letter points to your résumé, so the résumé has to follow the same country's rules.

Canada cover letter FAQ

What is the cover letter format in Canada?

One page on Letter-size paper, three or four paragraphs: why this job, your strongest relevant proof, any local context, and a close with your availability. Canadian spelling, no personal details, signed "Sincerely".

Should a Canadian cover letter include my photo, age or marital status?

No. Job Bank advises leaving out age, marital status, religion and similar personal details and says a photo is not the norm in Canada. Leave them off both the resume and the letter.

Do I need to write my cover letter in French for Quebec?

If the posting is in French, yes. French is the normal language of work in Quebec under the Charter of the French Language. For bilingual postings, state your level in each language honestly.

Should newcomers mention their immigration status?

Yes, in one accurate sentence: permanent resident, open work permit with its expiry date, or post-graduation work permit with its expiry date. Never imply a status you do not yet have.

Is 'To whom it may concern' acceptable in Canada?

It works, but reads as dated. Use the hiring manager's name if you can find it, otherwise "Dear Hiring Manager".

Is there a free Canadian cover letter template?

The sample on this page is a complete template — copy the structure, replace every detail with your own, and keep it to one Letter-size page. Our cover letter generator can draft a first version from your resume and the job posting.
