Workday ATS: why the fields matter more than the file
Workday is the system job seekers complain about most, and for a specific reason: it rebuilds your career history into structured fields, then asks you to check them. Understanding that one design decision changes how you should spend your twenty minutes.
Workday parses an uploaded resume to populate the application's structured fields, then walks you through a multi-step wizard where you review and correct them. Workday documents that parsing does not fill hidden fields, does not populate Skills or Languages, and gives better results with resumes free of images and image-based styles. Employers can require a Candidate Home account before you apply, and many do. The automated screening Workday documents is questionnaire-based: employers can attach scores to multiple-choice answers, and Workday totals them for recruiters to see — it documents no automatic rejection based on your resume text.
Workday at a glance
Workday is the system large enterprises most often run, particularly organisations that already use Workday for HR and payroll and simply switched recruiting on inside it. That means big employers across finance, healthcare, retail, universities, government agencies and technology. Each employer runs its own Workday tenant on its own hostname, which is why the account you created at one company does not obviously get you into another.
How to tell a company is using Workday
You almost never have to guess. Most employers host the application on the vendor's own domain, so the URL in your address bar names the system outright.
<company>.wd5.myworkdayjobs.com/<CareerSite>The classic shape. The wd1, wd3 and wd5 fragment is Workday's data-centre pod, and all three are in live use. Workday's own careers page redirects to exactly this pattern on its own tenant.
wd1.myworkdaysite.com/recruiting/<tenant>/<SiteName>The newer host, with the tenant name moved into the path instead of the subdomain. Same product, and equally common — recognise both.
…/job/<Job-Title>_<JR-number>/applyWorkday job URLs typically slugify the job title and append a requisition reference such as JR-0108715. Seeing that JR- style identifier in the URL is a reliable secondary tell.
Other giveaways
- The application opens on a 'Start Your Application' screen offering three routes: autofill with a resume, apply manually, or use your last application.
- A progress list runs down the side or top of the page numbering the steps you have left — a wizard, not a single form.
- Section names like 'My Information' and 'My Experience' appear as step headings. 'My Experience' is a Workday-delivered label, though employers can rename these.

You choose how to start: autofill, manual, or reuse
Workday's apply screen offers three routes. Autofill with Resume parses your file to prefill fields. Apply Manually skips parsing entirely — a legitimate choice if you know your resume parses badly. Use My Last Application reuses what you submitted to that same employer before, which is the fastest path if you are applying to a second role there.

You are usually asked to create an account first
Workday documents a 'Require Candidate Home Account' option that employers can switch on to force account creation before an application can be submitted, and notes that individuals can either use a Candidate Home account or apply without signing in. Which of those you get is the employer's choice. On Workday's own careers tenant, observed in August 2026, sign-in is step one of eight — so plan for an account rather than hoping to avoid one.

You work through a multi-step wizard
Rather than one long page, Workday splits the application into numbered sections — typically personal information, work experience and education, application questions, voluntary disclosures and self-identification, then a review. Do not treat any published list of section names as fixed: Workday documents these as configurable job application templates whose section labels employers can override, and the live count varies by employer.

You review and correct what the parser produced
This is the step that actually decides your outcome, and the one most people rush. Workday's documentation is explicit that parsing results vary with resume format and word order. Every job title, employer name and date sitting in those boxes is what the employer's recruiters will search and read. Two minutes fixing a mangled title is worth more than an hour of font choices.

You answer questionnaires, and sometimes an inline assessment
Workday documents questionnaires used for pre-screening and filtering candidates, allowing up to fifty questions plus branching questions up to six levels deep. It also documents assessments attached to requisitions that can be triggered inline during your initial application — so be ready for the application to be longer than the form suggests.
How Workday reads your resume file
Each claim below is labelled. Vendor-documented means Workday, Inc. publishes it in its own help or product documentation — the sources are linked at the foot of this page. Not vendor-documented means it is consistently reported by applicants and recruiters but the vendor does not state it, so treat it as a sensible precaution rather than a rule.
Parsing fills fields — it does not replace them
Vendor-documentedWorkday's documented behaviour is that it populates application fields from your resume. That is the whole mental model you need: the resume is an input to a form, and the form is the record. On systems like Greenhouse the attachment is what a recruiter opens; on Workday the structured fields carry far more of the weight.
Skills and Languages are never populated from your resume
Vendor-documentedWorkday documents plainly that resume parsing does not populate the Languages and Skills fields. If you upload and move on quickly, those sections stay empty — on a platform whose vendor also sells a large skills ontology. Fill them in by hand, every time. This single fact is worth more than most resume-formatting advice.
Hidden fields are not auto-filled
Vendor-documentedWorkday documents that fields configured as hidden are not populated by parsing, and that administrators can configure job application templates to hide resume parsing from external candidates altogether. So if an application offers you no autofill at all, that is a deliberate employer configuration rather than a fault at your end.
Avoid images and image-based styles
Vendor-documentedThe one piece of formatting guidance Workday actually publishes is that, for best results, resumes should not contain images or image-based styles. Note what it does not say: nothing about columns, tables, fonts or headers. Anyone giving you a detailed Workday-specific formatting checklist is not getting it from Workday.
Results vary with format and word order
Vendor-documentedWorkday states that parsing results can vary based on resume format and the order of words. This is an unusually candid admission and it justifies the practical rule: never assume the parse worked. Read every prefilled field before you advance.
Accepted file types and size limits for the candidate upload
Not vendor-documentedWorkday does not publish these for the candidate-facing autofill. The only Workday-published format list we could find belongs to HiredScore, its acquired module, which supports DOC, DOCX, PDF, RTF and TXT for resume attachments — that is a different product surface, not a documented Workday Recruiting upload rule. In practice a text-based PDF or DOCX is the sensible choice, but treat any specific Workday size limit you read elsewhere as unsourced.
Resume formatting rules that matter for Workday
Generic "ATS-friendly" advice is mostly one-size-fits-none. These are the choices that change what Workday specifically does with your file.
Workday builds your application from fields, and its own documentation says parsing varies with format and word order. A job title that arrived as 'Sr Analyst II — Ops' in the wrong box is what a recruiter searches against. Nothing else on this list matters as much.
Workday documents that these two fields are never populated from a resume. Leaving them blank on a platform built around a skills ontology is the most avoidable own goal in the whole application.
This is Workday's own guidance for best parsing results — the only formatting instruction it publishes. Decorative graphics, a headshot, or headings rendered as images all work against the one thing the vendor asks for.
Employment dates are among the fields Workday reconstructs, and its documentation concedes results vary by format. 'Mar 2021 – Jun 2024' throughout beats a mixture of '03/21', 'March 2021' and 'Spring 2021'.
Workday is mapping your prose onto fields. An internal title like 'Growth Ninja' parses into a box a recruiter will never search for. Put the conventional title in the field and keep the internal one in your bullet text if it matters.
It is a documented, first-class option on Workday's own start screen, not a workaround. If you know your layout parses badly, typing the fields yourself produces a cleaner record than correcting a bad parse — and takes about the same time.
Workday offers this route explicitly. It saves the wizard from scratch and keeps your record with that employer consistent, which matters because your data persists in their tenant between applications.

What screening really happens inside Workday
Questionnaires are the real screening mechanism
Workday documents questionnaires used for pre-screening and filtering, supporting up to fifty questions plus branching questions nested up to six levels. This is where an employer encodes what it actually requires. Answer carefully and completely — this is the part of a Workday application that is genuinely evaluated in a structured way.
Answers can carry scores, positive and negative
Workday documents that a score can be attached to each possible answer on multiple-choice questions, using positive or negative numbers, and that it calculates a total for the completed questionnaire. Negative scores can flag an unfavourable answer. The total shows on the candidate's record, and employers can configure it to appear on the candidate grid too.
Scores are shown to recruiters, not used to reject you automatically
Here is the important boundary. Workday documents the score being displayed on the candidate record and grid. We found no Workday documentation describing automatic disqualification based on that score, or on your resume. Recruiters see a number that helps them sort; the decision remains theirs.
Assessments can fire during the application itself
Workday documents that assessments can be attached to job requisitions and that inline assessment tests can be triggered during a candidate's initial application. If an application unexpectedly turns into a test, that is a configured feature rather than a glitch — so start Workday applications when you have time, not in a queue.
AI features exist, but not as a documented applicant filter
Workday markets Skills Cloud, a large standardised skills ontology, and has acquired HiredScore (2024) and Paradox (2025). Those are real products. What does not exist publicly is documentation tying them to automatic ranking or rejection of external applicants. We are not going to tell you a robot graded you when the vendor has published nothing of the sort.
Workday myths worth dropping
Workday grades every applicant A, B, C or D and bins the low grades.
We could find no public Workday documentation describing an automatic A-to-D grading of applicants. The only grade reference in Workday's published HiredScore documentation is a recruiter action — a person changing a candidate's grade and recording a reason. That is a human annotation, not an automated verdict.
Save as .doc, never PDF, because Workday cannot read PDFs.
Workday publishes no format preference for candidate resume uploads at all. The only format list on Workday's documentation site belongs to HiredScore, and PDF is on it. The one formatting instruction Workday actually gives is to avoid images and image-based styles, which has nothing to do with the file extension.
Workday applications are always the same six steps.
They are not. Workday documents job application templates as configurable, with section labels employers can override, and a live Workday tenant observed in August 2026 ran to eight steps with sign-in as the first. Expect a wizard; do not expect a fixed script.
Your Workday account works at every company that uses Workday.
Neither Workday nor common experience supports that. Each employer runs its own tenant on its own hostname, and account creation is a per-employer setting. The honest expectation is a new account per employer. If it turns out otherwise at some organisation running several career sites, treat that as a bonus.
Workday auto-rejects resumes that miss keywords.
Workday documents no automatic rejection at all — not on keywords, not on questionnaire score. What it documents is scoring displayed to recruiters. If your application ended quickly, the likelier explanations are a screening question you answered out of range, or simply a recruiter reviewing and moving on.
Workday ATS — common questions
Why does Workday make me retype everything after uploading my resume?+
Because on Workday the structured fields, not the attachment, are the application. Parsing populates those fields as a starting point, and Workday's own documentation says results vary with resume format and word order — so it asks you to confirm. Tedious, but it means a bad parse is fully fixable if you slow down and read.
Does Workday automatically reject applications?+
Not according to anything Workday publishes. It documents pre-screening questionnaires whose multiple-choice answers can carry positive or negative scores, and a total that displays on the candidate record and grid for recruiters. Displayed to a recruiter is not the same as an automatic rejection, and no Workday documentation describes the latter.
Do I have to create an account to apply through Workday?+
Usually, but it is the employer's decision. Workday documents a setting requiring a Candidate Home account before an application can be submitted, and separately notes that people can apply without signing in. Many large employers switch the requirement on — Workday's own careers tenant did, with sign-in as the first step.
Does my Workday login work at other companies?+
Assume not. Each employer runs its own Workday tenant on its own hostname, and the account requirement is configured per employer. Expect to create a fresh account each time, and use a password manager — Workday applications are long enough that being locked out halfway through is genuinely costly.
What file type should I upload to Workday?+
A text-based PDF or DOCX is the sensible default. Workday does not publish accepted formats or a size limit for the candidate-facing upload, so anyone quoting you a specific Workday limit is not quoting Workday. What the vendor does say is to avoid images and image-based styles for best parsing results.
Why are my skills missing after Workday parsed my resume?+
Because it never fills them. Workday documents explicitly that resume parsing does not populate the Skills and Languages fields. They stay empty unless you type them, which makes this the single most valuable thing to check before you submit.
Should I use 'Apply Manually' instead of autofill?+
It is a reasonable choice, and Workday offers it as one of three routes on its own start screen. If your resume is heavily designed, multi-column, or has previously parsed badly, typing the fields yourself gives a cleaner record for roughly the same effort as correcting a bad parse.
How can I tell a job is running on Workday?+
The URL. Look for myworkdayjobs.com with a company subdomain and a wd1, wd3 or wd5 fragment, or myworkdaysite.com/recruiting/ with the tenant in the path. A job URL ending in a slugified title plus a JR- style requisition number is another strong indicator.
