Zoho Recruit: the skills field decides whether you appear
Zoho Recruit is the system Indian SMEs and staffing agencies run most, and it has one mechanic worth understanding above all others: its matching filters on a structured skills field, so a skill that never reached that field can make you invisible to a search you would otherwise top.
Zoho Recruit hosts an employer's careers site, commonly at company.zohorecruit.com, with an optional Candidate Portal where applicants track their applications. Zoho states that it uses DaXtra, a third-party parser, to extract details such as name, contact information, skills and work history from resumes, and names DOC, PDF, RTF and TXT as supported formats. Its AI, Zia, produces a 0–100 match score and ranks candidates — but Zoho documents that score as being calculated from a candidate's structured Skills and Qualifications fields, not from free-text resume prose, and where a job lists required primary skills only candidates carrying them in their skill set appear in the results. Zoho documents no automatic rejection at all.
Zoho Recruit at a glance
Zoho's own customer page is dominated by staffing and recruitment agencies and small-to-mid-size corporate HR teams, with a smaller set of large names alongside. In practice this is the system you are most likely to meet applying to Indian SMEs, consultancies and agency-run pipelines — a very different population from the enterprises running Workday or SuccessFactors.
How to tell a company is using Zoho Recruit
You almost never have to guess. Most employers host the application on the vendor's own domain, so the URL in your address bar names the system outright.

jobs.<company>.com (custom domain)Zoho documents employers pointing their own subdomain at Zoho's host, which hides the vendor completely. In that case look at the form's behaviour rather than the URL.
Other giveaways
- An optional candidate portal lets you sign in and track application progress, with sign-up by email one-time code or by Google, Facebook or LinkedIn login.
- A pre-screening assessment can be embedded directly beneath the application form fields, so the assessment must be completed before you can submit.
- The application form is visibly employer-configured and often short — Zoho markets the form as collecting only what the employer needs.

Employers either use Zoho's default career site or build their own inside Zoho, with the default domain following the company.zohorecruit.com form. Many point a custom subdomain at it, in which case nothing in the URL reveals Zoho.

Zoho markets the application form as customisable so that employers collect only the information they need. In practice this makes Zoho applications among the shortest you will meet — often noticeably shorter than a Workday or iCIMS flow.

You upload a resume and attach documents
Zoho supports resume upload and document attachment, including from a phone or tablet. One honest caveat: we could not find Zoho documentation stating that a career-site resume upload prefills the application form. The autofill Zoho does document works from a saved candidate profile or from LinkedIn, so do not count on the upload filling the form for you.

You may have to complete an assessment before submitting
Zoho documents an option that displays a pre-screening assessment alongside the application form fields, so that every candidate applying must complete it before submitting. If a role shows one, budget the time — you cannot submit around it.

You can track it in the Candidate Portal
Zoho documents the Candidate Portal as a dedicated platform where candidates apply for positions and track application progress, with signup by form, email one-time code, or social login. Where an employer has enabled it, returning applications can be autofilled from the profile you already gave them.
How Zoho Recruit reads your resume file
Each claim below is labelled. Vendor-documented means Zoho Corporation publishes it in its own help or product documentation — the sources are linked at the foot of this page. Not vendor-documented means it is consistently reported by applicants and recruiters but the vendor does not state it, so treat it as a sensible precaution rather than a rule.
Zoho uses DaXtra, a third-party parser
Vendor-documentedZoho states directly that it uses DaXtra, a third-party parser, to extract information from resumes, while job descriptions are processed by its own in-house Zia parser. Naming the engine is more transparency than most vendors offer, and it means resume-parsing behaviour here is DaXtra's rather than something Zoho built.
What it extracts, in Zoho's own terms
Vendor-documentedZoho describes the resume parser as converting uploaded resumes into candidate records by extracting details such as name, contact information, skills and work history. That is an indicative rather than exhaustive list, and Zoho publishes no accuracy figure — treat anything more granular you read elsewhere as inference.
DOC, PDF, RTF and TXT are the named formats
Vendor-documentedZoho's product page names these four and states that accurate data extraction is ensured across them. DOCX is conspicuously absent from that sentence, and we are not going to add it for them — it is very likely fine in practice, but it is not what the vendor wrote. If you have the choice and want to stay strictly inside the documented set, PDF is the obvious pick.
Attachments cap at 20 MB in total
Vendor-documentedZoho documents a total attachment size of 20 MB per record, which is considerably more generous than SuccessFactors' 5 MB default or Taleo's 1 MB. File size is unlikely to be your problem on Zoho.
Some parsed fields cannot be edited
Vendor-documentedZoho notes that certain system fields cannot be edited because Zia uses them for job-to-candidate matching. This is worth knowing for the same reason the equivalent Taleo behaviour is: a small amount of what the parser decides about you is not freely correctable afterwards.
Whether a career-site resume upload prefills the form
Not vendor-documentedWe checked Zoho's application-form and career-site documentation and neither states that uploading a resume populates the application fields. The autofill mechanisms Zoho does document are profile-based and LinkedIn-based. So fill the form yourself rather than expecting the upload to do it — and if it happens to prefill, treat that as a bonus.
Resume formatting rules that matter for Zoho Recruit
Generic "ATS-friendly" advice is mostly one-size-fits-none. These are the choices that change what Zoho Recruit specifically does with your file.
This is the highest-leverage rule on Zoho by some distance. Zoho documents that where a job opening lists required primary skills, only candidates carrying them in their skill set field appear in the match results. A skill mentioned only inside a bullet point may never reach that field, and if it does not, you are filtered out of a search you would have topped.
Zoho documents that a candidate's match score is calculated from their skills and qualifications. Both halves of that formula are structured fields, so an unambiguous, conventionally named degree gives the scoring something clean to work with.
These four are the formats Zoho names. DOCX is not in the vendor's sentence, so if you want to stay strictly within documented territory, PDF is the safe and universal choice.
Zoho applications are often refreshingly brief, which tempts people to do the minimum. But the structured fields feed both Zia's ranking and the employer's search, and a short form means fewer chances to get your information into them.
It is the one place you can actually track application progress, and Zoho documents autofill from your saved profile for later applications to that employer. On a platform heavily used by staffing agencies who post many roles, that compounds.
Zoho publishes no formatting guidance — nothing on columns, tables or graphics. That is an absence of guidance, not permission. Selectable text, one column and standard headings remain the sensible default, and they are what the one vendor who does publish a list asks for.

What screening really happens inside Zoho Recruit
Zia matching, and what it actually reads
Zoho documents matching in both directions: Zia assesses a candidate's skills and qualifications against a job opening's requirements, grades matches on a score from 0 to 100, and displays candidates in descending order of match score. The crucial qualifier is what feeds it — the documented inputs are the structured Skills and Qualifications fields, not free-text resume prose matched against a job description.
Only twenty results are shown
Zoho documents a maximum of twenty matching candidates displayed. That is a meaningful practical constraint: on a well-subscribed role, ranking twenty-first is functionally the same as not appearing. It is also a reason the skills field matters more than eloquent bullet writing here.
The required-primary-skills filter is a hard gate
Zoho documents that when one or more primary skills are added to a job opening's required skills field, only candidates who have them in their skill set field appear in the match results. This is the closest thing to automatic exclusion in Zoho, and it is a filter on a structured field rather than a judgement about your resume.
Assessments can be mandatory before submission
Zoho documents an option to display a pre-screening assessment alongside the application form so that every applicant completes it before submitting. Where an employer uses it, the assessment is part of applying rather than a later stage.
No documented automatic rejection
Worth stating clearly. Zoho documents Blueprint automation that can send email, update fields, assign tasks and trigger webhooks on a stage transition — but nothing documents a rule that rejects a candidate automatically because a match score fell below a threshold. Zia produces a score and a ranked list; the documented decisions remain human.
Zoho Recruit myths worth dropping
Zoho's AI reads your resume and scores it against the job description.
Close, but the difference matters. Zoho documents Zia's match score as being calculated from a candidate's Skills and Qualifications — structured fields — and grades matches from 0 to 100 on that basis. That is a weaker and more mechanical claim than reading your prose, and it points to a completely different optimisation: get your skills into the field rather than write them more beautifully.
A low Zia match score gets you automatically rejected.
Zoho documents no such thing. Zia produces a score and a ranked list capped at twenty results; Blueprint automation acts on stage transitions rather than on scores. What can genuinely exclude you is the required-primary-skills filter, which is a structured-field match, not a score threshold.
Zoho Recruit cannot parse PDFs.
PDF is one of the four formats Zoho names explicitly, alongside DOC, RTF and TXT. The mildly interesting absence in that list is DOCX, which almost certainly works but is not what Zoho wrote — the opposite of the usual folklore.
Uploading your resume fills in the Zoho application form.
Not documented. We looked at Zoho's application-form and career-site documentation and found no such claim; the autofill Zoho documents comes from a saved candidate profile or from LinkedIn. Fill the form yourself and treat any prefill as a bonus.
Zoho Recruit is only for small companies, so the application does not really matter.
The population skews to SMEs and staffing agencies, which is exactly why it matters. Agency recruiters run high-volume searches across a shared database, and the structured-field matching that governs whether you surface is the same mechanism regardless of the employer's size.

How do I know a job is running on Zoho Recruit?+
Look for a zohorecruit hostname — commonly company.zohorecruit.com with a /jobs/Careers path, and zohorecruit.in for the India data centre. Employers can point their own subdomain at Zoho, which hides it entirely, in which case the short employer-configured form and the optional candidate portal are your best indicators.
What resume format should I use for a Zoho Recruit application?+

Why don't I appear in a search even though I have the skill?+
Most likely because the skill is in your resume text but not in your skill set field. Zoho documents that where a job lists required primary skills, only candidates who have them in their skill set field appear in the results. Getting skills into the structured field is the whole game on this platform.
Does Zoho Recruit automatically reject candidates?+
Nothing in Zoho's documentation describes automatic rejection. Zia scores and ranks, and Blueprint automation fires actions on stage transitions, but no documented rule rejects you for a low score. The required-primary-skills filter can exclude you from a result list, which is exclusion by structured-field mismatch rather than rejection.
Is there a file size limit?+
Zoho documents a total attachment size of 20 MB per record, which is generous compared with most systems here. File size is rarely the constraint on Zoho — getting your data into the right structured fields is.
Will uploading my resume fill in the application form?+
Do not assume so. Zoho's documented autofill works from a saved candidate profile or from a LinkedIn profile, and we found no documentation stating that a career-site resume upload populates the form fields. Plan to complete the form yourself.
Is it worth creating a Zoho candidate portal account?+
Generally yes. It is the documented way to track application progress, and Zoho documents autofill from the profile you already gave that company for later applications. Given how many Zoho users are staffing agencies posting many roles, that saving adds up quickly.
